Building a ledger bridge before year-end payroll questions arrive

A straightforward bridge from payroll application YTD totals to salary and contribution lines saves awkward explanations in the audit room.

External auditors rarely accept “the payroll system total matches in spirit.” They want a bridge: application YTD wages, minus timing items, plus manual journals, equalling the trial balance.

Start from pay elements, not from the GL

List the pay codes that should land in each salary and benefit account. Then pull YTD from the payroll processing application by those codes. Only afterwards bring in accrual journals and employer contribution accounts.

Name the timing items

Bonuses accrued but paid next month, leave provisions, and thirteenth-month estimates deserve their own lines. Burying them inside “other adjustments” invites follow-up questions you will answer under time pressure.

When to call for help

If two entities share one application but post to different charts of accounts, a short year-end reconciliation engagement is usually cheaper than discovering the mismatch during the statutory audit fieldwork.
